    Responsibilities

    Responsible for performing administrative, secretarial and clerical duties for Administrator and Chief Nursing Officer. Responsible for coordination and preparation of materials for assigned committee meetings, takes minutes, processes and distributes appropriate correspondence.  Understands and follows the organization's policies, procedures and standards.  Is an independent worker, meeting the day-to-day needs of the Administrator and Chief Nursing Officer.  Participates in the department's performance improvement activities. Detail oriented and possesses a mature and professional demeanor.

    • Greets and directs visitors appropriately; maintains the communication flow of the office.  Interacts professionally with all visitors and staff members.  Answers telephone in a professional manner; screens calls, takes messages and directs calls appropriately.
    • Prepares reports, memos, correspondence, meeting minutes, special projects, financial reports, Infection Control letters etc., for Administrator and Chief Nursing Officer.  Plans department activities, coordinates arrangements for business travel as requested.  Maintain organized and efficient filing system.  Demonstrates a high degree of accuracy and attention to detail at all times.
    • Manages the Administrator's and Chief Nursing Officer’s appointment books and schedules; maintains calendars for all Conference Rooms.
    • Serves as primary coordinator/recorder for monthly Board of Managers meetings.  Produce and distribute monthly board packet; attend meetings as scheduled, record, produce and maintain record of meetings.
    • Demonstrates ability to listen, communicate effectively and express ideas clearly, following appropriate channels of communication.  Ability to deal with difficult or sensitive issues in Administrator's or Chief Nursing Officer's absence.
    • Sort, log and distribute all incoming mail; identify mail requiring immediate attention.
    • Maintain supplies for Administration Department.  Assist in cost containment through appropriate ordering and conserving of supplies and equipment.
    • Maintains department's equipment, including postage meter, copier, printer, etc.  Replenishes supplies as needed.  Remains familiar with operating and maintenance procedures for all departmental equipment.
    • Demonstrates an awareness of the Medical Staff and Human Resources position and how it interfaces with the rest of the healthcare team.
    • Demonstrates the ability to be flexible, organized and function under stressful situations.
    • Maintains a good working relationship with other departments.
    • Represents Administration Department on hospital projects and committees as needed.
    • Utilizes Relationship Based Care by consistently placing personal relationships between caregivers, patients/families and self at the center of care delivery.  Every employee at THCDS is a caregiver. 
    • Adheres to Performance Standards and Professional Requirements as outlined in the Performance Standards handbook.
    • Other duties as assigned

    Qualifications

    • HS Diploma or equivalent. College degree preferred. 
    • 3-5 years of secretarial  experience;  Excellent interpersonal skills, creativity and innovation are required. High level proficiency in microsoft office skills necessary. Must be able to perform in stressful situations.  
    • Experience in a healthcare environment preferred.
